Even if the employees have been trained, they could leave the company, taking the knowledge with them. The company may also hire new managers that do not know very much about the system. They can recommend changes to the business processes that are not in line with the company's policies. As a result, this can hurt the business' bottom line.

    In conclusion, Implementing enterprise systems can contribute to achieving operational excellence because when an employee enters information into an enterprise system, it means that that much less time goes into sharing that information through other mediums. But the downfall is that company have to train their employee to be familiar with the system and this will cost the company some money. Although enterprise systems helps to keep track of important numbers, company revenue, sales, and order information, it will take up a lot of storage in the system and eventually the organization will have to consider different system that can store more data’s before enterprise system overflow.


    2) A) The first benefit of enterprise system is it can integrate organizational system.
    As we know enterprise system leads to the development of an integrated system within the organization. Thus, this helps in streamlining of organizational processes and work flow, resulting in improved efficiency.

    The second benefit would be it will incorporate the best practices for an organization. Because, the establishment of the enterprise systems in an organization results in the incorporation of best industry practices, leading to an overall improvement in the working of the organization.

    Lastly, it can improve planning in an organization. With enterprise system the management will be able to get a consolidated picture of inventory, sales, and receivables. This helps them in making better plans for the working of the organization.
    Although the employment of enterprise system involves a huge cost, its benefits outweigh the cost incurred by an organization. Most big and small organizations of the world have employed the enterprise system and are reaping the advantages associated with it.

    In short, an enterprise system manages the flow of data relevant to those within the company and those outside the company privy to certain information. Case in point, if a company has multiple lines of products and information relevant to all the products (like statistical data) needs to be shared with all those within the company, an enterprise system exists to enable the sharing of this information.

    B) More and more organizations are seeking to integrate the core functions of their business with technological advances. Organizations continue to reap the benefits of enterprise systems, but they also encounter challenges.

    The first challenge will be data problems. For example, inventory inaccuracy can make Material requirements planning (MRP) systems all but useless. There are dozens of other examples of how data problems can undermine enterprise systems and force users to work around the system. Many companies have problems with duplicate part numbers, duplicate vendor numbers, and inaccurate costing data. All of these make enterprise systems ineffective.

    Secondly will be the integration of problems. Enterprise systems by definition are integrated systems. But the organizations that implement them may not be integrated. Rather, there may be a strong functional orientation that creates isolated storage of bulk materials with walls between departments. Enterprise systems work best when they automate cross-functional processes. But if sales do not talk to production, and production does not talk to engineering, it is unlikely that the enterprise system will be used effectively.

    The last challenge is the difficulty to customize the system, tailoring the enterprise system to the company's preferences can be a challenge. It is very rare that companies will accept enterprise systems as they are. Therefore, employees or consultants can spend a large amount of time on programming or talking to the enterprise system's technical support in order satisfies the customer's.

Q1 - The first factor that contributing to difficulty of implementing the enterprise system inside the company is teamwork and composition which it is important throughout the enterprise resource planning life cycle. The enterprise resource planning (ERP) team should consist of the best people in the organization. But, building a cross-functional team is also critical. Which, it required the team should have a mix of consultants and internal staff so the internal staff can develop the necessary technical skills for design and implementation. Both business and technical knowledge are essential for success. The implementation of enterprise system should be their top and only priority and their workload should be manageable. Team members need to be assigned full time to the implementation. As far as possible, the team should be co-located together at an assigned location to facilitate working together.

    Next is, the top management support. Top management support is needed throughout the implementation. The project must receive the approval from top management and align it with strategic business goals. Top management also needs to publicly and explicitly identify the project as a top priority. While, the managers should legitimize new goals and objectives. A shared vision of the organization and the role of the new system and structures should be communicated to employees. New organizational structures, roles and responsibilities should be established and approved. Policies should be set by top management to establish new systems in the company.

    Lastly, the difficulty to adapts change in management program and culture that required, a strong computing ability, and a strong willingness to accept new technology would aid in implementation efforts. A culture with shared values and common aims is conducive to success. Organizations should have a strong corporate identity that is open to change. In the other hand, Management should also have a strong commitment to use the system for achieving business aims. And users must be trained, and concerns must be addressed through regular communication, working with change agents, leveraging corporate culture and identifying job aids for different users.

    others.

    The second challenge, configuration complexity, has been a growing issue. Before then, most elements of the systems configuration (the hardware, operating system, database and storage, and applications) were simple and easily tied together in one system. Now, however, the typical configuration consists of
    several separate mini-systems. For example, a complex high-end server solution has separate storage area networks, networking equipment, and software stacks for the middle-ware, database, portals, application servers and web servers. Another reason for the increase in system complexity is that customers demand more exact specifications, and more customization, than ever before. Yet another is that the software complexity has increased. And finally, solutions to today's complex requirements tend to emphasize hardware and software equally.

    And the third and the last challenge, optimally servicing the installed equipment base, revolves

  14. 1.The process in implementing enterprise system within the organizational actually had the difficulties.Firstly,the needs of the each department which the needs of Finance department together with Human Resource department and the warehouse seems impossible.This different departments usually have an individual software program that is optimized in the way each depart works.If installed incorrectly this integrated approach cannot be cost effectively for an organization and this different department difficult to share information and communicate with each other department.

    Secondly, Enterprise system also is complex and has many significant implications for staff work practice.Implementing the software is a difficult task too and one that 'in - house' IT specialist cannot handle.Hence to implement enterprise system, an organization hire third party consulting companies.It is will takes time to implement this system because it depends on the size of the business,the number of departments involved,the degree of customization,the magnitude of the change and the cooperation of customers to the project.

    Lastly,the organizations should take extra precautions when it comes to choosing the correct enterprise system for them because there have been many cases that organizations have lost a lot money due to selecting the wrong enterprise system and the service provider for them.

It enables a company to manage the efficient and effective use of resources providing a total, integrated solution for the organization’s information-processing needs. It supports a process-oriented view of the business as well as business processes standardized across the enterprise. In reality, ERP implementation is costly and has a high failure rate. A large amount of business cost is also spent on consulting experts to overcome difficult software implementation. Usually, businesses have their own existing proven competitive advantage processes set in place but these businesses will have to change their proven processes to fit the software in order to take advantage of future releases, and avoid costly irreparable errors. The high failure rate of ERP implementation requires a better understanding of its critical success factors as a guideline.

    The second difficulty is the successful development, implementation, use and support of customer relationship management systems. It can provide an advantage to the user, but there are also obstacles that can prevent the user from using the system to its full potential. For example, when instances of a CRM attempt to contain a large, complex group of data, it becomes cumbersome and difficult to understand for an inexperienced user. Also, an interface that is difficult to navigate or understand can reduce the CRM’s effectiveness, causing users to pick and choose which areas of the system to be used, while others may be pushed aside and not be used. This partial implementation can cause many challenges, as only certain parts are used and the system is not fully functional.

    The third difficulty is the resulting effects from personnel turnover and unanticipated events that occur after a project has taken place. The factors which impact the implementation strategy include technology maturity and availability of project knowledge. When the knowledge of operating the system is no longer available, it creates a huge problem for the organization because they will need to hire and train new workers to be able to perform the tasks necessary to implement the system within the company.

    The first benefit is the flow of information. With an ES, There is proper sharing of information across all departments of an organization, leading to improved interdepartmental communication and better employee performance.

    The second benefit is improved customer satisfaction. As all employees have access to requisite information, the workflow improves, resulting in on-time delivery of desired goods and services to the customers. The resultant improved quality and reduced delivery times help in developing high customer satisfaction.

    The third benefit is the reduced inventory costs. The use of concepts like SCM, CRM and ERP in enterprise system results in better planning, follow-up and forecasting of requirements. This results in a reduced inventory cost.

    The implementation of enterprise systems may incur huge costs to the organization but the many benefits and advantages that are associated with it can easily outweigh costs and improve the organization

This arises due to a number of uncertainties and side effects that need to be taken into consideration. For example, a situation of limited knowledge about an immature technology might suggest a phased roll-out to facilitate a learning process, whereas a high risk for personnel turnover might at the same time point to the need for a rapid and complete implementation with quick results.

    The second challenge is the flexibility of an enterprise system.     The first dificulities that encounter to organization in implementing enterprise system is the cost. Example of enterprise system are Customer Relationship Management and Enterprise Resource Planning. Just by purchasing those item it takes high cost to organization. Not just that, training staff to implement also takes overhead cost. Well, overall it consume lots of moneytary and time. Thus, Enterprise system created risky to the organization, they might require to thought deeply before decide to purchase it. Statistic shown the benefits of this system will be see when acced the maturity stage well at least within three (3) years.

    secondly, resistance to change. Not every people could adapt changes, this is esspecialy to older worker or experince subordinates. They might have the difficulity to implement the new change made by the organization. Well, Enterprise system is very hard to use it require lots of training before a person able to fully utilize it.     Finally, employees turnover. When it comes to employee turnover it is because the employess itself.     Enterprise systems integrate the firm's key business processes in sales, production, finance, logistics, and human resources into a single software system so that information can flow throughout the organization, improving coordination, efficiency, and decision making.
    These systems help create a more uniform organization in which everyone uses similar processes and information, and measures their work in terms of organization-wide performance standards.

    B) The challenge of enterprise system is the cost Enterprise systems, such as Customer Relations Management and Enterprise Resource Planning, incur exorbitant costs. Purchasing the software architecture, implementing it, and training staff are some of the overheads incurred, in terms of both money and time. Enterprise systems do not always yield anticipates benefits, thus creating a risk of double losses. In addition that is storage challenges generally, enterprise systems have a lifespan of 10 to 20 years, after which point they can be upgraded. Although this might seem like a long time, data within organizations accumulates exponentially and may prove too difficult to manage and store using a single software system. Data overflow and a subsequent slowdown in one department will certainly have a ripple effect in other functions of an organization.

    One of the factor is lack of feature function fit between the company’s needs and the packages available in the marketplace. There are very few companies that don’t have specialized processes dictated by their industry. When organizational size and scale of operations are taken into account, there simply may be no commercially available package suitable for a particular organization.
    Second, of enterprise systems is the availability of alternatives for increasing the level of systems integration. Data warehousing, a bundle of technologies that integrates data from multiple source systems for query and analysis. The usefulness of data warehousing as an integration strategy is limited by the quality of the source systems.
    Thirdly, it is highly expensive to purchase and implement enterprise applications that is the total cost may be 4 to 5 times the price of software. This may cause an organization to slowly generate it's goals.

On average, it takes three to five years to fully implement an enterprise system. Keeping the firm on track and focused on the end result is more difficult than most firms anticipate.

    It is Inflexibility because making changes in one area of the business is much more difficult after implementing an enterprise system. The software is just too complex to easily change.

    2. a) What are the benefits of enterprise system?

    There are 3 benefits of enterprise system. First, it gives the flexibility to respond rapidly to customer requests while producing and storing inventory only with that is needed to fulfill existing orders. Their ability to increase accurate and on-time shipment, minimize cost and increase customer satisfaction adds to firm probability.

    Second, enterprise system speed the communication of information throughout the company, making it easier for businesses to coordinate their daily operations. When a customer places an order, the data flow automatically to the other parts of the company that are affected by them.

    Third, enterprise system provides much available information for improving management decision making. Corporate headquarters have access to up to the minute data on sales, inventory and production and uses this information to create more accurate sales and production forecasts. Provide company-wide information to help managers analyze overall product profitability or cost structures.

    2. b) What are the challenges of enterprise system?

    There are 3 challenges of enterprise system. First is managing configuration complexity. The elements of the system configuration like hardware, operating system database and storage, and applications are simply and easily tied together in one system. However, the typical configuration consists of several separate mini-systems. For example, a complex high-end server solution has separate storage area network, networking equipment, and software stacks for the middleware, database, portals, application server and web servers. Managing this explosion in complexity has become a nightmare for enterprise system manufactures. Another reason for the increase in system complexity is that customer demand more exact specification, and more customization than ever before.

    Second is delivering flexibility. Stems from the way Enterprise Systems manufacturing companies are being forced to respond to fast changes in customer requirements and technology. This has placed huge demands on the flexibility of supply chain systems. Key issue revolve around the managing outsource manufacturing partners and suppliers, product transition, exception handling and change management in orders, forecasting for capacity planning and long-lead time components, product quality amongst others

    Third is the optimally servicing the installed equipment base. Revolves around the difficult task of support and warranties and servicing them cost effectively both proactively and reactively. The installed base is a huge potential source of upgrade revenue, especially for software upgrades.
